Managing bookings

Set the price, log hours, take payments, send forms and handle no-shows, cancellations, touch-ups and walk-ins — all from a booking.

Every booking has a Manage button that opens everything you need mid-session — price, hours, balance, payments and forms — in one place.

Where it's at

Every request and booking shows a stage track — Enquiry → Consult → Quote → Pick time → Deposit → Confirmed → Done — so you can see where anyone is in the journey at a glance, right on the request card and in Manage.

Price, hours & balance

Set the piece's price as a flat total, or by hours × the artist's hourly rate — whichever suits the job. The artist's rate and the deposit are shown right there. On a multi-session piece each session carries its own price, so open-ended and per-sitting pricing both work — the piece total is the sum.
Take money off a piece with a discount (promo, friends & family, an adjustment) plus a reason — the balance and the tax follow the reduced price.
Mark a piece a trade / material-only and the shop takes no commission on it (the materials fee still applies) — set once, honoured on every session.
Log the hours actually worked in a session, and watch the balance update live — total, paid so far, and what's left — the moment you save a price change or take a payment.
Record a balance or tip payment in cash or e-Transfer (card goes through Stripe). The client is emailed a receipt automatically, and you can re-send any receipt later from Payments.
Booking the next session for the same person? Hit Book next session in Manage — it carries their details and artist forward so you're not retyping.

Consent forms & the go-ahead

Send the client their health form & consent from Manage — including a walk-in, by popping in their email on the spot.
Before you start, a Ready to start check confirms the deposit's in, the forms are signed, and you've seen photo ID — a quick green light on the booking and the calendar.

Walk-ins

Someone not in the system? Hit + New booking (on Bookings or the Calendar), add their name and artist, and it drops straight into Manage so you can price it, take payment and send forms.
Start typing the name and Linebook matches your existing clients — pick a returning client to pull their details forward instead of creating a duplicate.

Changes & endings

Reschedule to a new time, or propose a few options for the client to choose from.
Cancel with a clear choice — refund the deposit, or keep it (forfeited) per your policy.
Mark a no-show if a client doesn't turn up (the deposit is kept), and book a free touch-up on a finished piece.
Archive finished or cancelled bookings to keep the list tidy — they stay in your history and finances, just out of the way.
